IRS – Business Modernization with SharePoint

Ascendra has been working with the Internal Revenue Service (IRS) for ten years. The Department of the Treasury consists of approximately 90,000 users and the IRS is the largest agency within Treasury. The project started as a migration project moving the agency from SharePoint 2003 to SharePoint 2010. In the process, the team also consolidated multiple disparate SharePoint environments into a single Enterprise Content Management system. Since then, Ascendra has helped move the IRS into SharePoint 2013 and will help migrate the agency to Office 365 at the end of the next fiscal year, September 2022.

Business Challenge

The Enterprise Operations branch at the IRS is responsible for the ongoing Operations and Maintenance for all Information Technology across the agency. Their overall mission is to provide best in-class technology solutions to support the various Business Units with their specific agency goals. Ascendra was contracted to assist the IRS in the transformation and modernization of their Intranet as it relates to SharePoint.

Solution

Based on the Agency’s requirements and existing information technology infrastructure, Ascendra has completed the following significant tasks for the Intranet Services Branch:

Migration of content from SharePoint 2003 through SharePoint 2010, SharePoint 2013, to SharePoint Online
Replaced original aspx/html custom intranet with a SharePoint based Intranet
Developed disaster recovery processes and environment in a secondary data center
Introduced tools for business process reengineering using data entry forms and workflow
Provided streamlined patching process to support monthly critical patches for 250+ servers
Assisted with Records Management solution to meet NARA’s 2020 records management mandate
Provided solution for scanning and remediation of PII/SBU data and Section 508/WCAG compliance
Developed self-service portal for requesting a variety of creation, modification, and deletion services
Stood up Business Intelligence platform to provide multiple options for reporting and data analytics

Benefits

With Ascendra’s assistance, the IRS has made significant strides in improving and modernizing their Intranet and Enterprise Content Management solution and the SharePoint environment is now compliant with NARA’s 2020 mandate regarding records management. The tools are now in place to improve efficiency and collaboration while decreasing costs and redundant efforts at all levels of the organization.
